  • 2024-2025 TROOP COOKIE COORDINATOR AGREEMENT

  • Summary of Position:  Support the annual Girl Scout of Eastern Massachusetts (GSEMA) Cookie Program by volunteering time as a Troop Cookie Coordinator.  This position is responsible for working with a troop within the service unit to support the Cookie Program.

    Expected Committment:  November- April, renewed annually

    Reports to/Partners with:  Service Unit Cookie Mentor & GSEMA Product Program Team

    All GSEMA Cookie Program Volunteers agree to:  Be positive role models to all girls and adults while acting with integrity and adhering to the Girl Scout Promise and Law, and to maintain confidentiality on behalf of the Girl Scout organization and in accordance with the GSEMA Comprehensive Information Security Program (CISP).

  • Qualifications:

    • Must be a MY2025 registered adult member of GSEMA
    • Must have a GSEMA CORI on file, valid through the duration of the program
    • Basic computer knowledge; willing to learn online database system - Smart Cookies
    • Computer with internet capabilities
    • Be in good financial standing with GSEMA

  • Basic Responsibilities

    • Be a positive role model to all girls and adults while acting with integrity and adhering to the Girl Scout Promise and Law.
    • Maintain confidentiality on behalf of the Girl Scout organization and in accordance with the GSEMA Comprehensive Information Security Program (CISP).
    • Operate the Cookie Program in adherence to GSEMA guidelines and policies and those found in GSUSA's Volunteer Essentials and Safety Activity Checkpoints.
    • Receive program materials and distribute to girls & families in a timely manner.
    • Become familiar with the Cookie Program products, procedures, reward plan and troop incentives.
    • Educate girl and troop adults about the Cookie Program policies and procedures.
    • Discuss troop goals and activity planning with girls.  Talk as a group about how to invest cookie proceeds.
    • Enter Planned Orders into Smart Cookies as needed by the troop.  Arrange pick up at Cookie Cupboard.

  • Reward Responsibilities

    • Assign packages to girls in Smart Cookies for rewards, and create recognition orders. 
    • Acknowledge that if package assignment is not done by you, the Product Program Team must divide unassigned packages evenly among all girls, resulting in incorrect rewards for girls.
    • Collect rewards from Service Unit Cookie Mentor and distribute to girls and families in a timely manner.

  • Communications

    • Review Cookie Program weekly Sunday emails.
      • If you have opted out of GSEMA emails, make sure you opt-in to receive Product Program updates.
    • Use Product Program's communication platform, Band, to stay up-to-date on the program and to connect with peer volunteers.
    • Open and positive communication with Service Unit Cookie Mentor as needed.
    • Proactively communicate with girls/families in your troop reminding them of program details and deadlines.

  • Communications Platform Policy

    • I acknowledge that all real-time council Cookie Program communications will be going through the Product Program's communication platform. I understand that if I choose to not download this app on my mobile device I could miss important Cookie Program communications.

  • Financial Responsibilites

    • Ensure the authorized troop bank account signatory completes and submits the online Troop Bank Information Form.
    • Maintain accurate records of inventory and money transactions with troop families.
    • Treat all product as if it is money as your troop is responsible for it financially.

  • Terms & Conditions

    I have read and agree to abide by the Troop Cookie Coordinator Agreement for the 2025 Cookie Program. This includes an agreement with the financial responsibilities of this position. I agree to receive any and all electronic mail and online communication from GSEMA Product Program.
