2024-25 SERVICE UNIT COOKIE MENTOR AGREEMENT

Summary of Position:  Support the annual Girl Scout of Eastern Massachusetts (GSEMA) Cookie Program by volunteering time as a Service Unit Cookie Mentor (SUCM).  This position is responsible for working with troops within the service unit to support the Cookie Program.

Expected Committment:  October - May, renewed annually

Reports to/Partners with:  GSEMA Product Program Team

All GSEMA Cookie Program volunteers agree to: Be positive role models to all girls and adults while acting with integrity and adhering to the Girl Scout Promise and Law, and to maintain confidentiality on behalf of the Girl Scout organization and in accordance with the GSEMA Comprehensive Information Security Program (CISP).

Qualifications

• Must be a MY2025 registered adult member of Girl Scouts of Eastern Massachusetts
• Must have a GSEMA CORI on file, valid through the duration of the program
• Must have access to a computer with internet capability
• Comprehensive computer knowledge; willing to learn online database system- Smart Cookies

Basic Responsibilities

• Be a positive role model to all girls and adults while acting with integrity and adhering to the Girl Scout Promise and Law
• Maintain confidentiality on behalf of the Girl Scout organization and in accordance with the GSEMA Comprehensive Information Security Program (CISP)
• Become familiar with the Product Program products, procedures, reward plan and troop incentives such that you are able to answer troop volunteer questions comfortably
• Encourage troop participation and promote the Product Program
• Become familiar with the GSEMA Safety Guidelines.*
• Receive program materials and distribute in a timely and manner.
• Provide support to Troop Cookie Coordinators and other troop volunteers.
• Provide extra time and support for new Troop Cookie Coordinators.
  

Reward Responsibilities

• Oversee the assignment of cookies by troops to girls in Smart Cookies.
• Ensure that all troops within your service unit complete reward orders in Smart Cookies by the deadline.
• Receive and distribute to troops girl program rewards in a timely manner.
  
  
  

 

Communications

• Conduct open and positive communications with Product Program team as needed.
• Read all Product Program weekly Sunday emails for program updates and safety tips.
  • If you have opted out of GSEMA emails, make sure you opt-in to receive Product Program updates.
• Use Product Program's communication platform, Band, to stay up-to-date on the program and to connect with peer volunteers.
• Proactively communicate with all troops within your Service Unit, reminders of program details and deadlines.

Communications Platform Policy

• I acknowledge that all real-time council Cookie Program communications will be going through the Product Program's communication platform. I understand that if I choose to not download this app on my mobile device I could miss important Cookie Program communications.

Financial Responsibilities

• Supervise Cookie Program activity by ensuring all troops have submitted the online Troop Bank Information form to council. Use the "Troop Missing Bank Info" report in Smart Cookies.
• SUCMs MUST NOT ENTER PLANNED ORDERS IN SMART COOKIES FOR TROOPS THAT HAVE NOT SUBMITTED BANK ACCOUNT FORMS.
• If an order is found to have been entered by the SUCM for a troop without banking information, the SUCM will be financially responsibe for that planned order.
• Accept financial responsibility of girl rewards received from the Cookie Program vendor, until signed for and received by Troop Volunteers. 
• Withhold rewards for troops with outstanding balances until notified by GSEMA.

Terms & Conditions

I have read and agree to abide by the Service Unit Cookie Mentor Agreement for the 2024 - 2025 Product Program. This includes agreement with the the financial responsibilities of this position. I understand that failure to fulfill these responsibilities may result in release of volunteer appointment or non-reappointment to a volunteer position within GSEMA. Failure to abide by financial policies and procedures may result in collection action. I agree to receive any and all electronic mail and online communication from GSEMA Product Program.
